General
The realworld one User & Access Management portal allows Company Administrators to manage users, control access to experiences, and grant licenses to external companies.
Access the portal at: https://portal.realworld-one.com/
Only users with Company Administrator permissions can sign in and manage users, access rights, and external licenses using their realworld one account.
Managing Users
Navigate to Users to manage individual user accounts and their access.
Add Users
- User creation depends on whether your organization uses Single Sign-On (SSO).

With SSO configured:
- Users are automatically created upon their first login by directly using their SSO credentials.

Without SSO configurated:
- If your organization does not use SSO, you can invite users via email, who can then register themselves.

Demo accounts (non-SSO accounts):
- You can manually create a user and provide details and password, even if SSO is enabled.
- These accounts are typically used for demo, testing, or exhibition purposes.
Edit or Remove Users
- Click on a user to:
- Manage direct experience access
- Assign or remove group memberships
- Delete the user if access is no longer required
- Change the users role to "Company Admin" or "User"
Managing Access with Groups
While it is possible to grant access to experiences on a per-user basis, this approach does not scale well.
Why Use Groups?
Groups allow you to manage access efficiently by:
- Assigning experiences to a group once
- Adding or removing users from the group as needed
This approach is recommended for managing access for larger user bases.
Create and Manage Groups
- Navigate to Groups to:
- Create new groups
- Edit existing groups
- For each group, you can:
- Define which experiences the group has access to
- Add or remove users
- Automatically assign new users to the group by enabling the auto-assign toggle on the group page
- You can also manage groups for a specific experience under Experiences.
Default Group
- One group is marked as the default company group (displayed in bold).
- All users of your company are automatically members of this group.
- Use this group to manage access that should apply to all users globally.
Managing Seats
For certain experiences, you may be granted seats to manage.
- Go to Experiences
- Select the experience you want to manage
- Open the Users section
- Assign seats to users
Granting Access to External Companies (External Licenses)
Using External Licenses, you can grant other companies the ability to provide access to their users to experiences you have developed with realworld one.
Prerequisite: Company Key
To grant access, the external company must provide you with their Company Key.
They can find this key in the portal under: My Company → Company Key
Granting Access
Once you have the Company Key:
- Navigate to External Licenses
- Click on Grant License and enter the external company’s Company Key
- Select the experience(s) you want to share
- (Optional) Define:
- The number of seats
- An expiry date for the access
This allows you to precisely control external access to your experiences.
Restricting Access to External Licensed Content (Whitelisting)
For external licenses with seat limits, individual access can be controlled by whitelisting specific email addresses, ensuring that only designated user accounts can access the relevant content.
- Navigate to External Licenses and either select an existing license with a seat limit or create a new seat-limited license.
- Open the Whitelist tab.
- Click Add to Whitelist to add users manually or upload them via CSV.
To remove a user from the Whitelist, hover over the entry and click Remove Email.
