Room Requirements
Size
The area for each VR station including desk, PC/laptop, and head-mounted display (HMD) should con- sist of at least 2 x 2 m. Make sure to mark the individual areas on the floor and to leave some space between each area. The user may use these boundaries to set up his/her guardian area to prevent any collisions with other users while in VR.
Floor and Ceiling
For the sensors of the HMD to function properly, choose a room in which the floor doesn't reflect light. Marble or tiled floors might impact equipment performance. Other reflective surfaces, such as mirrors or windows, may also interfere with the tracking sensors. The ceiling should not be too low or have low-hanging lamps/fans, so that the user has enough space to move without the danger of collision.
Installation
The PC/laptop requires sufficient air supply while running. Ensure that it is installed in an open area, e.g. on a laptop stand, shelf, table, or something similar.
Ventilation
As heat will be generated, the room itself should be equipped with a strong ventilation system or windows that can be opened.
Power Plugs
Ensure that all VR stations have sufficient power supply. Up to three power outlets are required per station:
One for the laptop power plug
One for an external screen (optional)
One for the HMD power plug if you are using HP Reverb G2.
Cable Management
Set up a cable management system to keep the cables in order and to prevent any tripping hazards. We recommend a ceiling-mounted cable management system.
Comfort
Consider providing chairs if you would like to give users the option of accessing virtual reality in a seated position. A space outside the guardian area should be set up for storing the chairs.
External Viewers
If you would like to give other people the opportunity to watch the VR experiences on a screen in 2D, add one external screen per station. Note that this viewing area should be sufficiently distanced from any immersed user. You can connect your laptop to an external screen e.g. via HDMI cable or wireless screen casting.

Hardware / Software-Related Suggestions
Login
It is recommended to set up each station with one dedicated user login. This way, an environment must only be downloaded once and then can be accessed universally.
Connection
Each VR station has to be connected to the internet in order to run. It is recommended that each station is connected via an ethernet cable rather than via WIFI.
Storage
It is recommended to protect the HMDs from dust and direct sunlight while not in use. Using a cover or protective case for the equipment is advised.
Hygiene
Make sure to disinfect each HMD after use. We recommend using a Cleanbox* for sanitizing all equipment. Avoid cleaning the HMDs with cloth or disinfectants that aren't suited for lenses, as they could damage the equipment.

A short guide for how to set up and put on the hardware is recommended โeither in written form or as a video provided on the PC/laptop.
Safety & Usage
Provide guidelines on how to use the room and the VR stations. Safety notices, such as strapping the controllers to one's hands or keeping the play area free of obstacles, should be included.
Help & Support
Make sure there is a contact person who can assist in cases when a user needs help with hardware or software. It is advised that a responsible person regularly checks whether all hardware is intact and stored properly and that all software is up to date.
